Who is Rifbid?

Born in the Caribbean, Rifbid is the first AI-powered e-procurement solution for both suppliers and procurement officers. For suppliers, it helps find, bid, collaborate, win, and finance government contracts in one platform. For procurement officers, it offers a suite of AI tools to draft solicitation documents, evaluate submissions, manage contracts, and plan for future procurement cycles.

The challenge

Government contracting is slow and outdated. Agencies take months to procure goods, services, and works, and suppliers find the process difficult and frustrating.

The solution

We built an AI-powered platform to streamline procurement and help businesses win government contracts. It focuses on four areas:

• AI-driven RFP creation: AI generates RFPs tailored to requirements and standards, cutting manual work and keeping documentation consistent and high quality.
• Intelligent tender matching: AI matches business profiles to the most relevant tenders using procurement needs, industry, and geography, so suppliers spend time on the right opportunities.
• Automated evaluation reports: AI-generated reports give clear, actionable insights on proposals and bids, shorten evaluation time, reduce bias, and support data-driven decisions.
• Data security and compliance: Enterprise-grade security, encryption, and compliance with data protection standards keep sensitive procurement data safe and build trust.

Together, these features make procurement faster, more secure, and more accessible for businesses scaling and pursuing high-value contracts.

How we did it

• Strategy: We defined Rifbid’s vision as an AI e-procurement platform, set goals and target users, and scoped features (AI RFP creation, tender matching, evaluation reports). We analyzed procurement pain points and opportunities and built a roadmap with timelines, milestones, and resources.
• Requirement gathering: We worked with procurement officers, suppliers, and experts through interviews, surveys, and workshops to refine functionality and align with industry standards. Their input shaped AI behavior and security so the platform fits real-world use.
• Design and prototyping: We created wireframes and prototypes for an intuitive UI, with dashboard analytics, tender notifications, and secure data management. We iterated with stakeholders until the design matched project goals.
• Development and integration: We implemented AI for RFP generation, tender matching, and evaluation reporting, tested for accuracy and reliability, and added strong security for procurement data. We kept stakeholders updated and adjusted as needs emerged.
• Testing and refinement: We ran functional, usability, and compliance testing, plus stress tests for scale. Security and compliance audits ensured we met global standards. Beta feedback was used to refine the product before launch.
• Launch and support: We launched with onboarding, tutorials, and support, then monitored performance and feedback and put in place ongoing improvement so Rifbid stays a leading procurement solution.
